Booking Terms
1. Introduction
1.1 These Terms and Conditions (“Terms”) apply to all bookings for short-term holiday accommodation at The Sunray, Chapel Lane, Osmington, Weymouth, Dorset, DT3 6EU (“the Property”, “we”, “us”, “our”).
1.2 By booking with us, you (“Guest”, “you”, “your”) agree to comply with these Terms.
1.3 The person making the booking must be 21 or over, stay for the duration, and is responsible for ensuring everyone in the party, including day visitors, complies with these Terms.
2. Booking, Payment & Confirmation
2.1 Your booking is confirmed once we’ve received full payment and sent you written confirmation (by email or post).
2.2 To keep things simple, we ask for the full balance to be paid at the time of booking. There’s no deposit option.
2.3 For your peace of mind, we place a hold of 15% of the booking value on your credit card as a security deposit. This is not a charge and will be automatically released within 10 working days of your departure, provided everything is left in good order.
2.4 We may ask for the name, age, gender and address of each guest in your party. On rare occasions we reserve the right to refuse or cancel a booking if necessary.
Governing Law & Jurisdiction
This agreement is governed by English law, and both parties agree to the non-exclusive jurisdiction of the English Courts. We both commit to acting reasonably when selecting or agreeing on any forum for dispute resolution. If any part of this agreement is deemed invalid or unenforceable by law, the remaining terms will continue in full effect wherever possible.
Booking Price
The total price of your booking will be shown on the confirmation we send to you (by email or post). This price includes:
- Use of the accommodation for the maximum number of guests specified on our website.
- Bed linen (except cot linen), towels, and an initial supply of firewood (where applicable).
- Charges for any additional services you request at the time of booking, priced according to our tariff.
Age & Responsibility
You must be at least 21 years old to make a booking, and every accommodation unit must have at least one responsible adult over the age of 21. The lead guest is responsible for the conduct and behaviour of all members of their party, especially those under 21.
Guests & Occupancy
Only the guests listed on your booking confirmation may occupy the accommodation. If additional, unregistered guests are found staying, your booking will be terminated, and all occupants will be asked to leave.
The maximum number of guests allowed in each accommodation unit is as stated on our website. Exceeding this limit may result in additional guests being moved to alternative accommodation, with full charges applied from the date of arrival.
Smoking Policy
All accommodation at The Sunray is strictly non-smoking. Guests may smoke in designated outdoor areas but must show consideration for other residents and follow site rules.
Prohibited Items
For safety and legal reasons, the following are strictly prohibited on-site: firearms, shotguns, air weapons, knives, fireworks (including sparklers), Chinese lanterns, illegal substances, or any similar items.
Resale & Promotions
Your holiday booking (and any associated discounts) may not be advertised, transferred, resold, or offered as part of any competition, promotion, business, charity, or similar activity without our prior written consent.
3. Cancellation & Refunds
We understand that sometimes plans change. If you need to cancel, our refund policy is as follows:
- 12 weeks or more before arrival: Full refund (100%).
- 8–12 weeks before arrival: 75% refund.
- 4–8 weeks before arrival: 50% refund.
- Less than 4 weeks before arrival: Unfortunately, no refund can be given.
If we ever need to cancel your booking (which is very unlikely), we’ll either offer you an alternative stay or a full refund of the amount you’ve paid. Our responsibility is limited to that refund.
Please note: Refunds cannot be given for cancellations or disruptions due to severe weather or events outside of our control.
We strongly recommend taking out suitable travel insurance to cover unexpected events or changes to your plans.
4. Arrival & Departure
4.1 Check‑in from 3pm on arrival day; check‑out by 10am on departure day.
4.2 Guests must vacate on time to enable preparation for arriving guests.
4.3 Quiet hours must be observed between 10.30pm and 7 am.
5. Occupancy & Party Composition
5.1 Only the guests named on the booking may occupy the property. Bringing extra persons may result in cancellation without refund.
5.2 Exceeding the maximum occupancy may result in cancellation without refund.
5.3 Stag, hen or party groups are not permitted without prior written consent. Violation may result in eviction without refund.
5.4 Any same sex bookings of more than 2 people need to pre-agreed by email in advance of your booking being made or this will result in cancellation of your booking. We are a family oriented site and do not cater for stag dos or hen partys.
6. Conduct & Behaviour
6.1 We reserve the right to deny access or require departure without refund or liability for any breach of these Terms.
6.2 No smoking or vaping inside; permitted only outdoors and away from other guests.
6.3 Weapons, fireworks, illegal substances or similar items are prohibited.
7. Guest Responsibilities
7.1 Keep the property clean and leave it in a tidy condition. Report any damage promptly.
7.2 We may charge cleaning or damage fees within 7 working days following departure.
8. Facilities & Safety
8.1 Follow all safety notices and staff instructions.
8.2 Use communal or external facilities at your own risk.
8.3 Children must be supervised at all times
8.4 Vehicles are parked on site at guest’s risk.
9. Dogs
Well‑behaved dogs are welcome, subject to you booking a pet‑friendly unit and paying the per‑pet supplement at the time of booking. Please review and comply with the following rules:
– Breeds prohibited under the Dangerous Dogs Act are not permitted.
– All dogs must be microchipped, and have current vaccinations for distemper, hepatitis, leptospirosis, and parvo virus as legally required.
– Dogs must be kept on a lead at all times in shared areas.
– If a staff member needs to access your unit (e.g. maintenance), your pet must be removed or contained safely.
– Dogs must not be left alone or unsupervised in the property.
– No more than three dogs per property; they must not be allowed on furniture or beds unless covered by a blanket/towel.
– You must ensure your pet has appropriate third-party liability insurance covering injury or damage to people or property.
– Pet mess must be cleaned up immediately, and waste disposed of in provided bins.
– Microchip and vaccination records may be requested and must be presented if asked.
– If we reasonably consider that your pet is causing harm or nuisance, we reserve the right to require its removal from the property without refund or compensation.
10. Privacy & Data Protection (GDPR)
10.1 We collect and process your personal data only to manage your booking and provide services.
10.2 Data is processed under the UK GDPR and Data Protection Act 2018.
10.3 We will not share your personal data except for payment processing, legal compliance, or emergencies.
10.4 Booking records are held for up to 6 years, after which they are securely deleted.
10.5 You may request access, correction, deletion of your data or file a complaint with the ICO.

11. Liability
11.1 We are not liable for loss or damage to personal belongings, vehicles, or injury unless caused by our negligence.
11.2 Nothing in these Terms limits liability for death, personal injury due to negligence, or fraudulent misrepresentation.
11.3 Parking is at your own risk.
12. Force Majeure
12.1 We are not liable for events beyond reasonable control (e.g. fire, flood, epidemic). In such cases, we may offer a refund or suitable alternative only.
13. CCTV
Purpose of CCTV – For the safety and security of our guests, staff, and property, and for the prevention and detection of crime, CCTV operates in certain external and communal areas of The Sunray.
How We Use CCTV
Images may be monitored and recorded 24/7.
-Footage is stored securely and only accessible to authorised personnel.
-Recordings will normally be kept for up to 30 days, after which they are automatically deleted unless required for an ongoing investigation.
Sharing of CCTV Footage – CCTV images may be shared with the police, insurance providers, or other relevant authorities where necessary for the prevention or detection of crime, to meet legal obligations, or in connection with legal claims.
Data Protection – CCTV recordings are processed in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. You have the right to request access to CCTV images of yourself, subject to exemptions and third-party privacy rights.
15. Photography
We want all our guests to enjoy their stay and capture special memories. To keep things fair and respectful for everyone:
- Guests are welcome to take photos and videos during their stay, provided they are only of your own party (family, friends or group members included in your booking).
- Photography and videography must be for personal use only.
- Commercial use, professional shoots, promotional content, or use for advertising are not permitted without our prior written consent.
- Please respect the privacy of other guests and staff by not photographing or recording them without permission.
- For safety and privacy reasons, drones are not permitted anywhere on the property
We reserve the right to request the deletion of any images or videos that breach this policy and to take further action if necessary.
Hot Tub Policy
To ensure the safety, comfort and enjoyment of all our guests, we kindly ask that you follow these rules when using the hot tubs:
- Supervision: Children under 16 must be supervised at all times. Children under 6 are not permitted to use the hot tub.
- Food & drink: For hygiene and safety reasons, no food or drink is allowed in or around the hot tubs.
- Health & safety: Guests with medical conditions (including heart problems, high/low blood pressure, or who are pregnant) should consult a doctor before use.
- Time limits: Please avoid prolonged use to reduce the risk of dizziness, dehydration, or overheating.
- Cleanliness: Shower before entering and avoid using oils, soaps or bubble bath in the water.
- Lighting the heater: The heater must only be lit when the tub is full of water; never light the heater when the tub is empty.
- Respect: Please treat the hot tubs with care. Any damage caused through misuse may result in charges being applied. Please keep noise to a minimum. Hot tubs must not be used after 9.30pm.
We reserve the right to restrict or withdraw use of the hot tubs if these rules are not followed, or if we consider usage unsafe.
Disclaimer: Use of the hot tubs is at guests’ own risk. The property owners accept no responsibility for accidents, injuries, or illnesses that may occur from the use or misuse of the hot tubs.
